JAPAN STUDENT VISA

To ensure a smoother Japan student visa application process, please carefully review the procedures outlined below. 

1. Required documents for a Japan Student Visa

  • Passport: Valid for at least 6 months;
  • Visa application form (will be completed on your behalf);
  • One photo (4.5 cm × 4.5 cm) taken within the last 6 months (in addition to the photo attached to the application form);
  • Certificate of Eligibility (COE);
  • Letter of Admission / Certificate of Acceptance (COA).

In addition to the documents listed above, the Embassy or Ministry of Foreign Affairs may request additional documents depending on individual cases. Failure to provide the requested documents may result in the application not being accepted or delays in visa issuance.

2. Where to submit the Japan Student Visa application

  • Embassy of Japan in Hanoi (27 Lieu Giai, Hanoi): For applicants residing from Gia Lai Province and Bình Định Province northward;
  • Consulate-General of Japan in Ho Chi Minh City (261 Dien Bien Phu, Ho Chi Minh City): For applicants residing from Đắk Lắk Province and Phú Yên Province southward.

Application submission hours: From 8:30 AM to 11:30 AM, Monday to Friday (excluding public holidays observed by the Embassy/Consulate).

Important notes:

  • Incomplete applications will not be accepted. In such cases, applicants will receive a checklist of missing documents that must be supplemented.
  • Visa applications sent by fax or postal mail to the Consulate-General of Japan will not be accepted.

3. Processing time for Japan Student Visa

From the April 2018 intake onward, visa processing times are as follows:

  • Embassy of Japan in Hanoi: approximately 7 working days (excluding holidays);
  • Consulate-General of Japan in Ho Chi Minh City: approximately 8 working days (excluding holidays).

This is longer than the previous processing time of 5 working days. Processing may take longer if the applicant is required to attend an interview.

4. Interview with the Japanese Embassy

After submitting the visa application, applicants may be requested to attend an interview at the Embassy or Consulate. The purpose of the interview is to further verify the applicant’s study objectives and academic capability.

5. Japan Student Visa Fee: 650.000 VND. To obtain the most up-to-date visa fee information, parents and students are advised to visit the official website of the Embassy of Japan.
